| Office Manager - Charleston SC Date: April 9, 2009 Start Date: Immediate Opening B&D Boilers is a for-profit corporation that provides products and services to corporations, government agencies and other entities. The Company also represents various products, as a specified regional distributor and reseller. The Office Manager (OM) is responsible for the administrative and clerical aspect of a specific Profit Center (PC). This position reports to Operations (corporate). The OM works as a team with the General Manager, Sales personnel and Production personnel to ensure the proper operation of the PC. This includes, but is not limited to customer relations, proposal processing, personnel scheduling, and project processing. A strong candidate will have an understanding of relationship management, accounting, procurement, estimating project management, human resources and business development. A normal work day for this position is 7:00AM to 4:30PM (Monday through Friday). This is a salary position, which may call for working outside of these hours on an as-needed basis. General Requirements: • Assist the GM with organization, scheduling and other day to day tasks. • Promptly and courteously answer the telephone, routing calls to the appropriate individual. • Facilitate the efficient flow of mail through the office • Professional appearance and demeanor. • Maintain office supplies • Account Receivables follow-up • Credit Card tracking • Per Diem reconciliation • Proper submission of time sheets to the Corporate Office. • Write and submit purchase requisitions for direct and indirect materials as needed or mandated by a job. Coordinate expediting with Corporate Purchasing and ensure proper delivery. Communicate with Supervisors the logistical schedule. • Maintain and status quotes as directed by the General Manager. This may include researching material pricing, rental equipment costs and sub-contractor options. • Generate parts quotes and routine maintenance. • Call vendors for material pricing and rental equipment • Creation, orchestration (per diem, coordination with other offices, etc.) of scheduled and emergent work. • Schedule – maintain a live schedule for periodic work, i.e. Maintenance Contracts • Review – verify material, labor, freight, per diem and other charges are correct. • Update Contact Relational Management (CRM) customer and contact information • Receive sales leads, issue and maintain status with Sales Personnel • Work with Human Resources to ensure compliance with Company policy.
